JOB TITLE:Office Assistant I (part-time)

DEPARTMENT Parks and Recreation

DIVISION: Administrative Office

 

IMMEDIATE SUPERVISORS:Director of Parks Recreation and Government Buildings

DIRECTION OF OTHERS:None

 

EDUCATION, TRAINING, AND EXPERIENCE REQUIRED:

Minimum Qualifications:High school graduate or GED equivalent with experience in an office setting. Two years of customer service experience. Knowledge and experience with Microsoft Office products.Must possess a valid Minnesota driver's license.

Preferred Qualifications:Two years’ experience of working in an office setting. Familiar with the Park and Recreation Operations.

NATURE OF WORK:This position was created to provide customer service for the Park and Recreation Department and the West Hills Administration Building with frequent contact by user groups, individuals, suppliers, and/or company employees outside the immediate work area. Also to help perform a variety of general secretarial, bookkeeping, and receptionist duties and miscellaneous support tasks for the department

WORK PERFORMED/AREAS OF RESPONSIBILITY:

I. Customer Service to include but not be limited to: receiving the public and answering questions, completing transactions at the counter, responding to inquiries from the public, museum visitors, and employees. Referring customers to appropriate offices within the building and other buildings at West Hills. Answering the central telephone system for the Park and Recreation Office.

II. Assist Administrative Assistants with any or all of the following:

A. Computer usage which may include entering and maintaining pavilion reservation system, working with the Max Solutions system for youth and adult sports, recording scores, typing correspondence, adult and youth schedules, working with various newsletters, evaluations, flyers and other items that may occur.
B. Bi-weekly preparation of accounts payable, daily deposits, website information and social media communications.
C. Special projects as directed including tee shirt sponsor project, recognition, annual reports, budgets, web site information, and other projects that may occur.
D. Mailings including addressing and stuffing envelopes, copying, and collating.

III. All other duties as assigned.

EXTENT AND TYPE OF INTERACTION WITH PUBLIC:
I. Represents City government through direct contact with the public.

A. Answers citizen questions through daily telephone and internet contacts.
B. Responds to citizen inquiries regarding City government in person, by telephone, and electronically.
C. Daily contact with the public.

EQUIPMENT AND TOOL OPERATION:Employee must be capable of operating a variety of office equipment relative to this position which shall include but may not be limited to: Communication equipment, PC, typewriters, copiers, scanners, fax machines, credit card machines, laminator, and calculators.

WORKING HOURS AND CONDITIONS:

I. This is a non-exempt position.
II. Regular work hours will vary Monday-Friday and occasional weekends. Exceptions can occur.
III. This position works primarily in an office environment, with little exposure to outdoor
temperature variations or environmental factors.

In compliance with the Americans with Disabilities Act the following represents thePhysical and Environmental Demands: This position requires an equal amount of time spent standing, walking, and sitting. Lifting, pushing/pulling, or carrying objects weighing up to twenty (20) pounds is sometimes required, with a maximum of forty (40) pounds infrequently required. Climbing, stooping, kneeling, crouching, crawling, twisting, and bending are sometimes required. Repetitive movements of the hands are sometimes required. Audio, visual, and verbal functions are essential functions to performing this position. The majority of the workday is spent indoors.
